Requesting Meeting Rooms

As far as requesting a meeting room in a Nutley school, the process that we have been using has not changed. The CEO of GSHNJ signed the contract that will be on file at the Board of Ed office. The leader needs to fill out the same forms as in the past & hand them into Kathey Spera at the front desk. If you have any questions, her number is 973-661-8794

Volunteer Training Steps

Becoming a volunteer is easy.  Just follow these three simple steps:

 Register as an adult Girl Scout member.  

Complete this volunteer application online.

Complete training.

  • Daisy Training for grades K-1
  • Brownie Training for grades 2-3
  • Junior Training for grades 4-5
  • Cadette Training for grades 6-8
  • *Senior Training for grades 9-10
  • *Ambassador Training for grades 11-12


Volunteer Information

GSHNJ is requiring that all volunteers be background checked.  This also includes all volunteers who may not be in direct contact with girls, but who handle money (SUM and Tropp Treasurers as well as SUM and Troop Product Sale Managers). 


1.    Please advise Cheryl via email ( if there has been
any change in leadership for your troop.  If there has been a change please
advise if the bank account needs to be updated.

2.    Any troop that is not continuing, I need your financial statement and all
your banking information immediately.  Please contact me at 973-715-5035 or
via email to make arrangements.

3.    With everyone’s busy schedules the Service Unit’s main method of
communication will be the website.  Please check periodically for updates.
A minimum of once a week should keep your troop up to date.  If an urgent
item is posted to the website, an email will be sent to check the website.

Lockdown  Letter                                                                                                              As a follow-up to the safety meetings we had, in regards to the lockdown drills for troops that meet after school in Nutley, here is a sample letter that can be copied & handed out to the parents in

 Dear Parents                                                                                                   



            The state of New Jersey has recently mandated that all schools, including the Aftercare programs, be trained in and practice security Lockdown drills monthly.Therefore, any Girl Scout Troop that holds it’s meetings in a school, during after school hours, needs to be trained in, and follow the proper procedures for a lockdown. The following criteria affects how the troop will function, but also involves parent cooperation.


  1. The Director of the After School Program (if held at that school), is the person in charge of that school during after school hours.
  2. The room in which the GS troop will be holding meetings may be relocated, so it is closer in vicinity to the After School Program.
  3. There will be only 1 door designated for the dismissal of all students in the building during after school hours.
  4. All entrance doors to the school will be locked from the outside during after school hours.
  5. Parents are no longer allowed to enter the building to pick up their child. The child will be escorted by an adult, to the designated exit and released only to the adult that has permission to pick up that child.
  6. If a parent is volunteering time with troop activities, they are allowed to accompany the GS troop during their meeting(s), but need to adhere to certain rules:
    1. All students need to be accompanied by an adult to the restroom
    2. Parents need to stay with the troop unless accompanying a student to either the exit or the restroom.
    3. Parents are not allowed to open any entrance doors for anyone except for leaders or registered Girl Scouts attending their meeting.
    4. If a lockdown drill is to occur, the parents in the room MUST abide by the directions of the GS Leader in charge. All leaders and co-leaders have been trained in the 3 different procedures (Lockdown, Secure in Place & Safe-haven). It is crucial that there be complete silence and full cooperation in the room during these drills.


Your children are very familiar with these drills and will know what to do because practice drills are occurring monthly at each of the schools.
